Job Description:
As a Commercial Property Administrator, you will play a crucial role in the day-to-day operations of commercial properties. You will assist with leasing administration, vendor management, tenant relations, and property maintenance coordination. The ideal candidate will be highly organized, proactive, and have strong communication skills to ensure smooth operations and tenant satisfaction.
Key Responsibilities:
- Tenant Relations:
- Serve as the main point of contact for tenants, addressing inquiries and resolving issues in a timely and professional manner.
- Coordinate lease renewals, tenant improvements, and space planning as needed.
- Ensure tenant compliance with lease terms and building policies.
- Lease Administration:
- Prepare and review lease agreements, amendments, and renewals.
- Maintain accurate records of lease agreements, critical dates, and billing information.
- Process tenant move-ins and move-outs, ensuring all necessary paperwork is completed.
- Property Maintenance and Vendor Management:
- Coordinate regular building maintenance and repairs, ensuring the property is well-maintained and operational.
- Work with third-party vendors for services like janitorial, landscaping, HVAC, and security.
- Monitor service contracts, track vendor performance, and resolve any issues related to service delivery.
- Financial Management:
- Assist in the preparation of annual property budgets and operating expense reconciliations.
- Process invoices, track payments, and follow up on overdue accounts.
- Prepare and distribute tenant billing statements and ensure timely collection of rents and other fees.
- Reporting:
- Maintain accurate records and provide periodic property management reports to senior management.
- Track and report on key property performance metrics, such as occupancy rates, rent collections, and tenant satisfaction.
- Compliance and Risk Management:
- Ensure that the property complies with all local, state, and federal regulations, including health and safety codes.
- Assist with risk management activities, including emergency preparedness and insurance renewals.
Qualifications:
- Experience: Minimum of 2-3 years of administrative experience, ideally in real estate or hospitality industries.
- Education: Bachelor’s degree in business, real estate, or related field preferred, or equivalent work experience.
- Skills:
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Excellent communication skills, both written and verbal.
- Proficiency in property management software (e.g., Yardi, MRI, or other platforms).
- Knowledge of lease terms, property maintenance processes, and tenant relations.
- Strong problem-solving skills and attention to detail.
- Ability to work independently as well as part of a team.
