We are seeking to hire Office Assistants for our valued clients in East Madison and Middleton, WI!
Let’s talk about the available shifts:
- 1st Shift Office Assistant works Monday – Thursday 7:30a-4:30p & Friday 8a-12p
- 1st Shift Administrative Assistant works Monday – Friday 8am-5pm
The Pay for these Clerical Assistants:
- Office Assistant – $18/hr
- Administrative Assistant – $50-65K Annually
- Over time pay is paid at 1.5x your rate, after 40 hours per week is worked

Job Duties of the Clerical Assistants:
- Processes, generates, and mails customer invoices; performs data entry functions to maintain and update account records.
- Prints packing slips and transfers information from packing slips to computer files; ensures invoice amounts agree with product quantities shipped to ensure inventory accuracy.
- Prepares export documentation on shipments $2,500 or more on a Shippers Export Declaration form, using on-line software.
- Works with sales team and production employees to resolve invoice and shipment discrepancies.
- Performs general clerical support duties including new order file maintenance, copying, and faxing information.
- Performs accounts payable functions; enters invoice information into computer system; follows-up on payment and other discrepancies; calculates payment amounts and generates payment checks.
- Processes international vendor accounts payable invoices; verifies international currency exchange rate and calculates international transaction amounts.
- Assists with receptionist duties, answers, and relays incoming call
- Provide administrative assistance such as writing/editing e-mails, drafting memos, creating presentations, running reports and preparing communications on the executives’ behalf
- Prepare customer quotes in a timely and accurate manner
- Receive expenses and labor reports for off-site Installers. Check for accuracy, code to proper area and submit to accounting. Record expense information in company computer program.
- Take notes during meetings on executives’ behalf
- Organize meetings, including scheduling, sending invites and reminders and organizing catering when necessary

- Associate Degree in accounting preferred and two years computerized account processing experience or any combination of education and experience that provides equivalent knowledge, skills, and ability.
- Knowledge of accounting principles and practices.
- Knowledge of computer software applications including Microsoft Word, Excel, ERP/financial programs, and e-mail programs.
- Previous experience in an administrative role supporting executive leadership highly desired
- Advanced computer competency required in Microsoft Office. Experience working with an ERP, such as Odoo, or other related systems.
- Extremely detail oriented
- Outstanding organizational and time management skills
- High school degree or equivalent related work experience. A secondary educational degree is a plus.
- Lift up to 35 lbs.
- Sit/stand and use a Computer Keyboard/Monitor
